Microsoft 365 Licence Check

Enter what you pay for, plan by plan. See what the same people would cost on the right plans at Microsoft's published UK prices, and where the money goes: unused seats, people on desktop plans who only use a browser, and the 20% Microsoft adds for monthly billing.

Quick answer

Most UK small businesses overpay for Microsoft 365 in three places: licences still assigned to leavers or shared mailboxes, staff on Business Standard or Premium who only use email and Teams in a browser, and monthly billing, which Microsoft prices 20% above an annual commitment. At Microsoft's published UK prices (checked 13 October 2026, per user per month ex VAT, annual), Business Basic is £5.40, Business Standard £10.80, Business Premium £16.90 and Apps for business £9.80. This check works out the right mix for your answers and the annual difference.

Check your Microsoft 365 licences

1. How many licences do you pay for on each plan?

It's in your Microsoft 365 admin centre under Billing → Your products, or on your last invoice.

2. How are you billed?
3. Who actually uses them?
4. Do you need to manage laptops and phones centrally, with advanced threat protection?

Intune and Defender for Business - usually yes if staff take data home, you hold Cyber Essentials, or insurers ask about it.

How the check works

01

Enter your licences

Plan by plan, from Billing → Your products in the Microsoft 365 admin centre or your last invoice.

02

See the right-sized mix

Unused seats removed, browser-only people on Business Basic, everyone else on the plan their needs call for, billed annually. Every step shows its own saving or cost.

03

Get a reviewed price

Nayim checks the result against your tenant and sends a fixed price within 4 hours, at or below Microsoft list.

Where Microsoft 365 money leaks

Licences on leavers

A licence stays billed until someone removes it. Converting a leaver's mailbox to a shared mailbox keeps the email and frees the seat.

Desktop plans for browser users

Business Basic gives Teams, Exchange email and Office in the browser. Staff who never open desktop Word or Excel do not need Standard.

Monthly billing

Microsoft's UK monthly-subscription prices are 20% higher than an annual commitment, e.g. £12.96 against £10.80 for Business Standard.

Security bought twice

Business Premium includes Intune and Defender for Business. Paying for Standard plus separate device management and endpoint protection often costs more.

Should everyone be on Business Premium?

Not automatically. Business Premium is the plan we recommend when you manage laptops that leave the office, hold Cyber Essentials, or answer insurer questions about device control, because it bundles Intune and Defender for Business that would otherwise be bought separately. If none of that applies, Business Standard is the honest answer for desktop users and Business Basic for everyone else. The check will tell you when the right answer costs more than you pay now - under-licensing is a risk, not a saving.

Can AMVIA beat Microsoft list price?

Often, yes. Microsoft's published prices are the ceiling, and resellers can usually price below them. The reviewed quote you get from this check shows our price next to list so you can compare like for like. If you would rather not manage Microsoft 365 at all, our managed service starts at £15 per user a month.

What this check does not cover

Enterprise plans (E3, E5, F3) for organisations over 300 users per plan, add-ons such as Copilot or Teams Phone, and education or charity pricing. Ask for those in the review and we will price them separately.

Want Microsoft 365 run for you?
